Registration
Registration Process
Registration can be completed by:
- Visiting the conference website
- Emailing the Conference Team
- Telephoning the Conference Team
- Posting the registration form
- Faxing the registration form
Cancellation Policy
Once you have been registered, an administration fee would be applied if you decided to cancel. However we do offer a substitution policy that is free of charge.
Delegate Substitutions
For security reasons, all substitutions must be made in writing to us. Please include the current delegate’s name and job title together with the new delegate’s name and job title. Substitutions are completed within 24 hours and confirmation is sent to the new attendee.
Conference Payment
Payments can be made by visiting the conference website or alternatively you can make payments directly to our office by:
Credit/Debit card – If you have already registered, please contact the accounts team. If you are about to register, you can complete the booking form and include your credit card details.
Invoice – We can invoice your company, please allow 7 – 10 days for your invoice to arrive. Bank transfers can be made into our account and our bank details can be found on our website or on the reverse of the conference booking form. If you require assistance, then please contact the accounts team on the number above. Invoicing is only available 15 days prior to the event.
When should I pay for the conference?
Supplying a credit card at time of registration confirms and guarantees your place. If your company does not have a credit card, then a purchase order number can be supplied to guarantee your place. You may be asked to guarantee the registration on the day of the event with a personal credit card. This will not be charged unless we are instructed to do so.
When will I receive confirmation that I am registered?
We will send to you your confirmation of registration letter via the email or post. This is sent 24 hours after registration and should be with you within 3-5 working days.
Does my registration fee include accommodation?
Generally it does not. However, our partner for hotels is Venue Search and if you quote the conference code to them they will arrange the best possible deal for you. Their number is 00 44 (0) 208 541 5656
How do I get to the venue?
When you register we will send you details about the conference venue. This includes their telephone number, web site and map. Alternatively you can visit the conference website where there is a link to the conference guide.
What does the conference fee include?
Typically, the conference fee includes your attendance at the event, access to any stream sessions/workshops, access to our sponsors/exhibitors, lunch, refreshments and conference papers. Please see the conference website and/or booking form for further details.
How can I sponsor or exhibit at an event?
The majority of our events have sponsorship or exhibiting opportunities. This information can be found on the conference website or within the conference brochure. Alternatively contact the Customer Service Team who will be happy to help.
Finance
Obtaining a copy invoice
Invoices are produced and are available to be emailed approximately 7 days after registration. A copy invoice can be requested by email to accounts.conferences@emap.com or by telephone to our Shared Service Centre in Peterborough on 01733 213800. Please include the name of the delegate, company name and conference title.
I need to supply a purchase order number
Purchase Order numbers are supplied by your accounts department to fast track invoices and payments through your organisation. The allocation of the purchase order number tells the accounts team which department the cost of the conference should be charged back to.
Database
I no longer wish to receive information from you
We make every effort to keep our database as up to date as possible by completing data cleansing activities. However, please contact our customer service team on 0845 056 8339 who will be able to assist.
I would like to receive information about future conferences
We can log your enquiry and interest which will automatically ensure you receive information next time around. Please contact the customer service team on 0845 056 8339 who will be able to assist you.
I still want to receive information about conferences but my details have changed
I keep receiving information about conferences that are not relevant to me. How do I remove myself or change the areas I’m interested in with you?
I no longer wish to receive conference information via post from you
We too are concerned about the environment. Simply make sure we have an accurate email address on record by calling the customer service team on 0845 056 8339 and let us know this is how you prefer to receive your communication.
Technical
I'm experiencing difficulties trying to register on your site
If you are unable to register, this could be down to a number of things, your internal system, your firewall, number of users on your system, the size of pipe connecting you to the WWW etc. Please contact the Customer Service Team on 0845 056 8339 who will be able to complete the registration for you.
When will I receive confirmation of my attendance?
A confirmation letter is automatically sent from the website to the email address that you have supplied during the registration process. Please contact the Customer Service Team on 0845 056 8339 who will be happy to confirm your registration and send a duplicate confirmation.
I am unable to complete my registration for the conference
To ensure that we have received all of your details, we recommend that you do complete another registration. Alternatively, you can contact the Customer Service Team to confirm if your registration has been received. They can also complete the original registration for you on your behalf.
Subscription
I would like to subscribe to the magazine
If you visit the conference website, there is a link to the magazine and you can place your request to subscribe with them.
My subscription has expired how do I renew?
If your subscription is about to expire, you will receive notification together with a renewal form. If your subscription has already expired, then please visit the magazine website for assistance.
